Applicant Privacy Statement
Job Applicant Privacy Statement
Chambliss Center for Children ("Chambliss," "we," "us") respects the privacy of people who apply to work with us. This statement explains what information we collect during the hiring process, why we collect it, who we share it with, and how long we keep it.
Information we collect
• Contact details: name, address, phone number and email address.
• Application materials: résumé, cover letter, work history, education, licenses, and certifications.
• Information about the position: job of interest, availability, desired start date and pay expectations you choose to share.
•Interview and assessment notes: notes from interviewers and any skills exercises related to the job.
• References: names and contact information you give us, and what your references tell us.
• Voluntary self-identification: if you choose to provide it, information such as race, ethnicity, sex, veteran status or disability. Providing it is optional, it is kept separate from your application, and it is never used in hiring decisions.
We collect this information from you, from our online application system, from references you list, and, after a job offer, from the screening sources described below.
How we use your information
We use applicant information to:
• review your qualifications and decide whether to interview or hire you;
• contact you about your application;
• complete required screenings after a job offer;
• meet legal, licensing and record-keeping requirements, including state rules for childcare and child welfare programs; and
• create your personnel file if you are hired.
People at Chambliss review every application. We do not use automated or AI tools to score, rank or reject applicants.
Screenings after a job offer
Because our staff work with children, any offer of employment is conditional on successfully completing the screenings that apply to the position. We begin these only after we make a conditional offer, and only with your written authorization. Depending on the position, they may include:
• Criminal background and registry checks, including fingerprint-based checks through the Tennessee Bureau of Investigation and FBI, and checks of child abuse, sex offender and other registries required by state licensing rules.
• Reference, education and license verification.
• Driving record check for positions that require driving children or agency vehicles.
You will receive and sign separate disclosure and authorization forms before any screening begins.
Who we share your information with
We share applicant information only as needed for hiring, including with:
• Chambliss staff involved in the hiring decision;
• service providers that host our application tracking system or perform screenings for us, who may use the information only for that purpose;
• state agencies that license or oversee our programs, when required; and
• others when required by law, subpoena or court order.
We do not sell applicant information.
How long we keep your information
If you are not hired, we keep your application and related records for at least one year from the date of the hiring decision, or longer if required by law or if a claim or investigation is pending. We then securely delete or destroy them. If you are hired, your information becomes part of your personnel file and is kept under our employee records practices.
How we protect your information
We limit access to applicant information to people who need it, store paper records in locked files, and use password-protected systems for electronic records. Screening results are kept confidential and separate from general application materials. No system is completely secure, but we take reasonable steps to protect your information.
Your choices
You may ask to review or correct the information you gave us, or withdraw your application at any time, by contacting us below. Withdrawing your application does not require us to delete records we must keep by law.
